Supplier Code of Conduct
This Code sets minimum standards Earthen Experiences expects from Suppliers, their employees, contractors, agents and subsidiaries when working on our behalf. Compliance with applicable laws, ethical conduct, and sustainable operations are non-negotiable.
1. Anti-Corruption & Business Integrity
Suppliers must operate transparently and ethically, and shall:
- Fully and accurately disclose any information relevant to activities conducted on Earthen Experiences’s behalf.
- Uphold fair business standards in advertising, sales, and competition.
- Comply with the UN Global Compact, UK Bribery Act 2010, US Foreign Corrupt Practices Act 1977, and all applicable anti-corruption laws.
- Not offer or accept bribes, gifts, or hospitality that is disproportionate or outside the ordinary course of business.
- Not engage in corruption, extortion, or fraud in any form.
2. Working Conditions & Labour Rights
Workers’ Rights & Forced Labour
- Treat all workers with dignity and respect in line with ILO standards.
- Not employ anyone against their will or use slave, forced, bonded, or trafficked labour.
- Ensure workers hold their own identification documents; surrender of passports/permits as an employment condition is prohibited.
- Provide written contracts in a language the worker understands; workers may leave employment with reasonable notice and without penalty.
- Promptly report suspected human trafficking to authorities.
Child Labour & Child Protection
- Not employ workers under 18 in ways that jeopardise their health, safety, or morals; comply with ILO Conventions 138 & 182.
- Implement and demonstrate measures (policies, training) to protect children from tourism-related sexual exploitation or abuse.
- Train relevant staff on child protection and reporting procedures.
Non-Discrimination & Working Hours
- Not discriminate in hiring, pay, promotion, or termination on grounds of gender, race, age, disability, ethnicity, religion, or sexual orientation.
- Ensure working hours comply with national law or industry standards (whichever is more protective).
- Pay at least the legal minimum wage in full, on time, with all mandated benefits and leave entitlements.
- Not use wage deductions as a disciplinary measure.
3. Health & Safety
- Anticipate, identify, evaluate, and control risks including emergency situations; maintain documented emergency plans, first aid, evacuation procedures, and fire suppression equipment.
- Maintain high standards of hygiene, sanitation, clean toilet facilities, potable water, and safe food-storage where applicable.
- Post Material Safety Data Sheets (in workers’ primary language) for all hazardous substances; train workers accordingly.
- Provide workplace health and safety training in workers’ primary language and implement systems to track, report, and investigate occupational injuries and illness.
- Ensure all services provided to Earthen Experiences customers are safe and fit for purpose.
4. Environment & Community
- Commit to reducing overall environmental impact and engage communities to foster social and economic development.
- Actively reduce energy and water consumption; monitor, control, and endeavour to eliminate solid waste, wastewater, hazardous chemicals, and air emissions through conservation, recycling, or substitution.
- Favour sustainable and locally produced goods and services over imports wherever reasonable.
- Maintain a register of all applicable environmental licences and permits; monitor compliance with current and revised legislation.
5. Information Security
- Implement confidentiality measures to protect the privacy of customers, clients, and employees.
- Safeguard customer, client, and employee data and the transfer of technology and know-how in compliance with applicable international, national, and local intellectual property and data protection rights.
6. Implementation & Compliance
Suppliers are responsible for operating within all applicable international, national, and local laws and conventions. Where full compliance cannot immediately be ensured, Suppliers must actively promote this Code to their own sub-contractors and supply chain.
Suppliers shall maintain a procedure for timely correction of deficiencies identified through internal or external audit or review. This Code constitutes guidelines; contractual enforceability is determined solely by the legal relationship between the Supplier and Earthen Experiences.
